Care & physio slots

The Care event is a calendar event type dedicated to physiotherapy slots. The physio is available over a time window (e.g. 30 minutes before training); players book a slot from the portal, state their reason, and the physio arrives with a known schedule.

Note

The Care event does not create a training session and has no impact on load. It is a coordination event, not a performance event.

Create a Care event

1. In the calendar, click + Event.
2. Select the Care type.
3. Set the time window: date, start time and end time.
4. Enter the slot duration (in minutes) and the number of slots.
   • The number of slots is pre-filled automatically based on the event duration and the slot duration.
   • You can adjust the number manually.
5. Choose the eligible players (the whole team by default, or a custom selection).
6. Publish or schedule the send.

Eligible players receive a “The physio is available — book your slot:” notification through the usual call-up pipeline (WhatsApp, push or email depending on your plan).

Tip

No present/absent response is required for a Care event: booking a slot is the participation signal.

The Care panel (staff tab)

Open the Care event from the calendar to see the Schedule of slots:

• Time of each slot
• Player booked (or Free if the slot is available)
• Reason and note from the player (visible to staff only)
• Booked by staff badge if the booking was made manually

Book for a player

If a player does not have portal access or asks the staff to book for them:

1. In the Book for a player section, select the Player.
2. Choose a free Slot.
3. Select a Reason (Tape / strapping, Massage, Muscle check, Pain / discomfort, Question, Other).
4. Add a Note (optional) if needed (max 500 characters).
5. Click Book.

Move a booking

Select a new free slot from the Move to… dropdown next to the booking. The booking is transferred immediately and the previous slot becomes free again.

Cancel a booking

Click Cancel next to the booking. The slot immediately becomes bookable again.

Edit an event with bookings

• Shift the window: slots are recalculated and bookings are kept. Affected players receive the standard “Event updated” notification.
• Reduce the number of slots: bookings on removed slots are cancelled. Affected players receive a notification inviting them to book a new slot.
• Change the event type: not possible while bookings exist.
• Cancel the event: players who booked receive the standard cancellation notification.

The physio recap (before the event)

Before the event starts, the event creator and staff members with the physio role receive a recap:

• The time and title of the session
• The number of booked and free slots
• The detail per player: time, reason and note

The schedule in the app remains the live source of truth after the recap (last-minute changes, cancellations, etc.).

Note

Reasons and notes are never visible to other players. Only staff sees this information. Other players only see the player’s name on a booked slot.

Booking reasons

Players choose a reason from a fixed list:

• Tape / strapping — applying or checking a strapping
• Massage — muscle recovery treatment
• Muscle check — checking a tightness or pain
• Pain / discomfort — reporting a pain
• Question — consultation, advice
• Other — any other need

Tip

The physio arrives with a known schedule: who is coming, at what time, for what reason. No more verbal coordination at the pitch side.

Weekly duplication

The Copy → function duplicates the slot configuration (duration, number) to the following week, but never the bookings. Players must book again.

Roles and permissions

• Head coach, fitness coach and physio can create and manage Care events.
• The physio role has explicit calendar access for this function.
• Read-only roles (e.g. delegate) see the schedule without reasons or notes.
